Scheduled tasks

The agent comes back when it said it would.

If a customer asks it to "write to me on Monday", the agent schedules it on its own and picks the conversation back up on Monday. And whatever you leave scheduled goes out without anyone having to remember.

It only schedules what the customer asked for, quoting the phrase · 5 ways to repeat a task · Off by default, agent by agent

The problem

Follow-up depends on someone remembering.

It is not that the team does not want to do it. It is that the moment to write passed while they were handling something else.

  • The "write to me on Monday" gets lost

The customer asks to be contacted at a specific moment. It ends up in somebody's head, among another hundred and fifty open chats, and on Monday nothing happens.

    Victoria solves:

The agent schedules it the moment it is asked, and on Monday it comes back on its own.

  • Whoever picks it up has not read the conversation

When someone finally writes, they write a "hi, how is it going?" that says nothing. The customer has to explain everything from the start again.

    Victoria solves:

The agent picks up where the conversation left off, in its usual tone, without asking the customer to repeat anything.

  • The usual follow-up is done by hand

Open quotes, customers who have not been back in a month, the list you go through every Monday: someone builds it and someone writes it. The week there is no time, it does not happen.

    Victoria solves:

You leave it scheduled once, pointing at a group from the CRM, and it runs even in the week nobody gets to it.

  • A message is promised that will never go out

On WhatsApp, more than 24 hours after the last customer message you can no longer send free-form text. Promising "I will write to you in two days" without the means to do it is letting them down twice.

    Victoria solves:

With no approved template loaded, the agent simply does not promise it: it offers something else.

When the customer asks

It does not invent excuses to write again.

An agent that schedules its own follow-ups is an agent that pesters. So it can only schedule one when the customer asked for it, and it has to prove it.

  • It has to quote the phrase — it cannot schedule a follow-up without saying in what words it was asked for. The quote is mandatory.
  • And the phrase is looked for in the real conversation — the system goes looking for it in that customer's thread, discarding anything the AI itself wrote. If it does not turn up, nothing is scheduled.
  • When the moment comes, the agent writes — not a message written in advance: it picks the conversation back up where it left off and drafts it in its usual tone.
  • And if it will not be able to send it, it does not promise it — on WhatsApp, outside the 24-hour window you need a template approved by Meta. With no template loaded, the agent does not schedule beyond that window.

An authorized administrator can also ask for one from their own chat: "send a message to Distribuidora del Centro tomorrow at 10". A follow-up is scheduled from two minutes and up to ninety days ahead.

Tasks that repeat

Mondays at nine, without anyone remembering.

What the team wants to happen every week does not depend on any customer asking: it is set up in the panel, with its time and its time zone, and the agent runs it.

How often it repeats
  • Once onlyon September 8 at 15:30

An exact date and time. It runs and the task is finished.

  • Every X minutesevery 2 hours

You choose the interval, with a minimum of 5 minutes.

  • Every dayevery day at 09:00

    A fixed time, every day.

  • Days of the weekon Mondays, Wednesdays at 09:00

You choose which days and at what time.

  • Once a monthon day 5 of every month at 10:00

Whichever day of the month you want, with its time.

The list comes from the CRM, not from a spreadsheet: funnel, tags, custom fields, owner, open opportunity, creation date, folder or source channel. It can also point at a single customer.

Pick the conversation back up and ask whether they had a chance to review the quote we sent, offering to answer any questions.

This is not the literal message: the agent will draft it in its own tone, looking at each customer's conversation.

Every run is a full agent turn, so during that run it can use the tools it already has: the administrative agent, for example, can have a fixed task that builds the weekly sales report and sends it to the chat. Anything that repeats is set up here, in the panel — by chat the agent only schedules one-off tasks — and the task always ends in a message in the chat.

The board

Everything scheduled is in plain sight.

The tasks of an agent live on their own screen: Virtual Office → the agent → Tools → Scheduled tasks. Four columns and, inside each task, what happened on each run.

  • 6Active
  • 1Paused
  • 12Finished
  • 0With errors

From the board you pause, resume, edit, delete or run a task right away, without waiting for its scheduled time. Finished tasks are cleaned up on their own.

Scope and control

An agent that writes on its own needs brakes.

The feature exists so no customer is left waiting for a message. Everything else is there so it does not turn into something else.

It is only enabled on the sales, after-sales and administrative agents: those are the three that can have scheduled tasks.

It is enabled agent by agent. While the switch is at zero, the agent does not even have the tool: it cannot schedule anything and cannot promise anyone a message.

Fine detail

What gets checked in the first demo.

By chat, the agent schedules one-off tasks only

The follow-ups a customer asks for are always one-off. Anything that repeats — every day, on Mondays, once a month — is set up in the panel.

The instruction is not the message

You write what you want it to do, not what you want it to say. The agent drafts by looking at each customer's conversation, so the same task does not send the same text to all 300.

The time zone belongs to the task

Not to whoever created it or to the browser that loaded it. The time you set is the time it fires.

Validity window and run cap

Each task can have a start date, an end date and a maximum number of runs. Once the cap is reached, it finishes on its own.

Run now, without waiting for the scheduled time

Useful for testing the instruction on one customer before leaving it running every morning.

You see how many it reaches before creating it

The filters return the number of customers that qualify. And an audience task will not save without filters: to reach everyone you have to say so on purpose.

Next step

Bring a customer who was left waiting.

In the demo we schedule the follow-up on that conversation and set up the task your team currently does by hand every Monday.

It is switched on with one toggle, agent by agent.
